1. Who we are
Nanosystems JP Inc. (株式会社ナノシステムズJP), Marunouchi Trust Tower Main Building, 20F, 1-8-3 Marunouchi, Chiyoda-ku, Tokyo 100-0005, Japan. Privacy requests and complaints: sales@nanosystemsjp.co.jp, +81-3-5288-5569. The name of our representative director is available on request from the same address.
2. What we collect
- Inquiry, quotation, and brochure forms: name, organization, email address, telephone number, project description, process selections, budget band, quantity, and any links to design files you choose to share.
- Inquiry context: with each form submission we record the page it was sent from, the paths of the pages you viewed on this site during the same browser session (up to 25), the page you arrived on, the referring site, any utm_ campaign tags in the address, and the language of the pages. This is stored in your browser's session storage until the tab is closed and is sent only when you submit a form. We do not record query strings or screen data.
- Email and telephone: what you send us, and our replies.
- Technical assistant: when you use the assistant, your messages and the conversation context are sent through our server to Anthropic PBC (United States) to generate responses. If you ask for follow-up, we also collect your name and email address together with an excerpt of the conversation as an inquiry record. Your contact details are not sent to the AI model. Please do not enter confidential design information, export-controlled technical data, or unnecessary personal information into the assistant.
- Website analytics: Google Analytics (Google LLC) collects pseudonymous usage data (pages viewed, approximate location, device type) by cookies. See section 8 for consent and controls.
- Performance monitoring: our hosting provider, Netlify, may collect anonymous page-performance measurements (load times) and server logs including IP address, time, and page requested, used for operation and security of the site.
3. Why we use it
- To answer your inquiry, assess feasibility, prepare quotations, and run projects you order.
- To understand which service you were reading about so that the right engineer answers, and to know which sources bring inquiries (inquiry context and campaign tags).
- To operate, secure, and improve the website (analytics, performance monitoring, logs).
- To meet legal, accounting, and export-control obligations.
Where the GDPR or UK GDPR applies, we rely on contract performance and pre-contractual steps for inquiries and projects, our legitimate interest in running and securing the site and in following up business inquiries, consent for optional analytics cookies, and legal obligations for records we must keep.
4. Confidential technical information
Information you send us in an inquiry is treated as confidential and used to evaluate the inquiry and, if you proceed, to perform the agreed project work. An NDA is available at any stage on request; where one applies, confidential technical information is handled under that agreement. Personal information is handled under this policy and applicable law in every case. Please tell us before sending technical data that is subject to export control, so that we can confirm in writing that we may receive it and that any required authorizations are in place.
5. Sharing and outsourcing
Where necessary for the purposes above, we share relevant personal information with service providers that support our website and forms (Netlify), email, analytics (Google), and technical assistant (Anthropic), with the engineering, fabrication, inspection, and logistics providers who execute your project under our management, with professional advisers, and where required or permitted by law. We limit what is shared to what is necessary, apply confidentiality and data-protection requirements, and remain responsible for the handling. Confidential technical information is shared only as your NDA or agreement allows. We do not sell personal information or use it for third-party advertising.
6. International transfers
Our website hosting, forms, analytics, and assistant providers process data in the United States, and project execution may involve recipients outside Japan. We handle these transfers under the applicable data-protection requirements: for the providers named above we rely on their contractual data-protection commitments, and for other transfers we put appropriate contractual or other safeguards in place or obtain your prior consent after providing the required information. Submitting an inquiry does not by itself constitute consent to every overseas transfer. Contact us for information about destinations and safeguards.
7. Retention
Inquiry and correspondence records are kept for as long as reasonably necessary to handle your request, conduct follow-up, and maintain the associated business records. Project and transaction records are kept for the periods required by law (in Japan generally seven years for tax and accounting records) and for justified contractual or dispute-related purposes. We review retained information and delete or anonymize it when it is no longer needed, subject to legal retention requirements.
Assistant conversations are kept in our inquiry records (as form submissions on our hosting provider) together with the page, referring site, time and, where you provide them, your name and email, so that an engineer can follow up and so that we can improve the answers. The AI service provider may also retain inputs and outputs under the terms and settings applicable to our account. You can ask us to delete a conversation record at any time using the contact details below. Closing the assistant does not delete records already submitted or held by a provider. Analytics data is retained by Google under the retention period set in our account (26 months).
8. Cookies and analytics
Google Analytics is optional. Visitors whose browser time zone or language indicates the EU, EEA, UK, Switzerland, Iceland or Norway are asked to accept or decline before any analytics cookie is set; elsewhere analytics loads after the page has finished loading and a banner offers Decline. You can decline without affecting the website or the forms. You can change or withdraw your choice at any time through "Cookie settings" in the footer; withdrawal takes effect immediately on the current page and on every later page. Browser settings provide additional control over cookies and site data.

9. Your rights
Depending on the law that applies and its conditions, you may request access to your personal information, correction, deletion, restriction or cessation of use, or cessation of provision to others. Where applicable, you may also object to processing, request data portability, or complain to the competent data-protection authority (in Japan, the Personal Information Protection Commission). Where we rely on consent, you may withdraw it without affecting the lawfulness of processing before withdrawal. Write to the address in section 1; we may ask for information reasonably necessary to verify your identity and will respond within the period required by applicable law.
10. Security
The website is served over HTTPS. Form submissions, inquiry records, and project data are accessible only to Nanosystems JP Inc. staff who need them and to the providers named in section 5 under confidentiality obligations. Access to our provider accounts is restricted and reviewed. We do not describe security measures in more detail publicly.
11. Changes
We may update this policy as our services or the law change. The date at the top shows the current version; material changes are notified directly to affected customers where required.
